The Receptionist will be responsible for answering a six line-telephone system while greeting scheduled visitors in a manner that conveys a friendly, helpful, and professional atmosphere.
The receptionist will also assist the office with loading our office mail received through email and helping other employees with scanning court documents.
RESPONSIBILITIES Operates a telephone with six-lines while using good phone manners, promptly answering and directing all incoming telephone calls.
Provides friendly, excellent customer service to callers, visitors, vendors and teammates.
Accepts/Signs daily certified mail, communicates deliveries of packages, and occasionally accepts service of lawsuits.
Assists in receiving incoming faxes, sending faxes, scanning and importing daily electronic mail into the firm's software.
Abides by the Employee Handbook, security procedures and federal regulatory requirement.
High volume daily scanning, and other clerical duties as needed or assigned.
Required to work office hours:

00pm (Fri); Punctuality a must.
QUALIFICATIONS Experienced with multi-line phone systems.
Must be able to communicate effectively with callers, write clear messages, and must be able to organize and accomplish multiple tasks simultaneously.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Must be highly organized and able to pay attention to written and verbal details, particularly when performing multiple tasks The requirements listed are representative of the knowledge, skill, and/or ability required.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write clearly for handwritten phone messages.
Ability to handle high volume, short deadlines and stressful situations.
Ability to speak articulately and give clear directions over the telephone and in person.
Ability to apply common sense understanding to carry out instructions furnished in written, or oral form.
Must be experienced in using computers with several software applications including Windows, Microsoft Office applications (Word and Excel, etc.
) and able to learn new programs as needed.
Must possess compassion, understanding, patience and tact in dealing with defendants, clients, visitors, callers, and ability to work as a team member with other teammates.
Must demonstrate an attitude of service to defendants, clients, visitors, callers, and ability to work as a team member with other teammates.
Must pass a background check Must have the ability to protect and maintain confidential business information.
One to two years related experience and/or training with multi-line phone system.
